Camp Policies

We want to make sure everyone has a safe and fun camp! Please send us an email if you have any questions or concerns about our policies.

Cancellation Policy

If you cancel before June 3, 2018, you will not be charged a fee. If you cancel anytime after this, but more than three weeks prior to the first day of camp, Geering Up will refund camp registration less a $25 reservation and processing fee. If you cancel less than three weeks prior to the first day of camp, Geering Up will refund 50% of the registration fee. Cancellations after 4:00 pm on the Friday before camp begins will receive no refund of registration fees as it is at that point too late to offer the spot to a wait-listed family. In order to run a cost efficient camp, this policy is strictly enforced, with no exceptions.

Photo Consent

Having your photo taken at camp is optional. If you choose to opt in, you must agree to the terms below.

By giving consent, I agree to allow Geering Up of the University of British Columbia and Actua, the National organization to which Geering Up is a member, to photograph, audio record, video record, podcast and/or webcast the Child (digitally or otherwise) without charge; and to allow Geering Up, Actua, and their licensees to copy, modify and distribute in print and online, those images that include your child in whatever appropriate way either of Geering Up or Actua sees fit without having to seek further approval. I consent to any of my child’s personal information, including Images, being stored, accessed or disclosed outside of Canada.

Appropriate Behaviour Agreement

We want our programs to be a safe and fun experience for everyone. To ensure that we can all enjoy Geering Up programs, participants are expected to:

  • Respect: Be respectful to themselves, other participants, our staff, and Geering Up property;
  • Listen: Actively listen to the instructors and junior instructors, and the other participants; and
  • Be Positive: Maintain a positive attitude throughout the program.

The expectations at the program work just like the expectations at your child’s school. If your child follows them closely, then they will be able to participate in all of our activities. If your child doesn’t follow the expectations, then they may not be allowed to participate in an activity. Inappropriate behaviour may also result in the suspension of privileges, or removal from Geering Up without monetary reimbursement.  All decisions regarding the consequences of inappropriate behavior will be made by Geering Up in its sole discretion.

There is absolutely no tolerance of emotional, physical, verbal or sexual abuse, and bullying, harassment or teasing will lead to the immediate contact of parent(s)/guardian(s) and possible removal from the program. There is also no tolerance of fighting, physical violence, possession or use of weapons (including using materials as weapons), or any actions or behaviours that threaten the safety of the participant or group. Smoking, the consumption of alcohol, and possession of illegal substances is not tolerated. The use of any of these will result in a report to the RCMP, as well as to parent(s)/guardian(s).

Internet Use Policy

Campers may have an opportunity to access learning tools on the Internet during their week at camp. However, with access to computers and people all over the world comes the availability of material that is inappropriate to a youth camp setting. While the employees of GEERing Up! will make every possible effort to restrict the access to questionable material, the possibility of intentional or inadvertent access exists. We feel, however, that the advantages gained by using the Internet far outweigh the possibilities that users may obtain material inconsistent with the educational goals of our summer camp. Therefore, the following violations of internet use will lead to the disciplinary action of a phone call to the parent/guardian of the camper, and possible removal from GEERing Up! without monetary reimbursement:

  • Accessing inappropriate content;
  • Harassing other users online;
  • Vandalism of accounts and systems;
  • Distributing copyrighted material;
  • Sharing of accounts and passwords.

Geering Up employees will determine what is appropriate versus inappropriate use.

Peanuts & Nuts

Geering Up is a nut-free environment – we ask that you do not send foods that contain nuts or peanuts to camp. We cannot guarantee that there will be no peanuts on site, but we do our best to check snacks and lunches. Please let us know about any peanut or nut allergies when you register, and we encourage you to bring your epi-pen to camp.


Acknowledgement And Acceptance Of Risk

Supervision

I acknowledge and agree that UBC will only be supervising my child from the time he/she signs into the program each day until the time he/she signs out at the end of each day of the program, and that UBC will not be supervising my child at any other time.

First Aid

I give permission for any Geering Up staff member to administer first aid treatment on my child if circumstances prove that first aid treatment is required. I understand that every Geering Up staff member has been trained in first aid and will only provide care as needed. I also understand that I will be responsible for any medical or other charges in connection with his/her treatment.

Information Storage

I consent to any of my child’s personal information, including the personal information of my child’s parent/guardians, being stored, accessed, or disclosed to the Active Network. I recognize that the Active Network is an American camp registration company, and that the information I provide will be stored with them outside of Canada.

Sunscreen

I accept that Geering Up may provide and help apply sunscreen for my child, unless I explicitly state otherwise in the health and behaviour section.

Internet Use

I have read and understand the terms and conditions of the Internet Use Policy. I understand that the University of British Columbia computer access is designed for educational purposes on­­­­ly. Geering Up has taken precautions to restrict access to controversial materials and I will not hold them responsible for materials acquired from the network. I understand that if the participant fails to comply with the terms and conditions of the Internet Use Policy, he or she may be removed from Geering Up programs without monetary reimbursement.

Acknowledgement and Acceptance of Risks

I have reviewed the description of the Geering Up UBC Engineering & Science for Kids program, and feel that I have sufficiently informed myself about the nature of the program and the activities involved.  I acknowledge that there is some risk of injury involved in my child’s participation in the program, and I acknowledge and accept these risks.

Privacy Notification

UBC is collecting the personal information on this form for purposes related to the delivery of the Geering Up UBC Engineering and Science for Kids program. For the same purposes, UBC may give your child a short survey rating about how much they enjoyed the program.

Because our registration provider (Active) is based in the U.S., Geering Up may store or access your child’s personal information outside of Canada. UBC is collecting this personal information under the authority of section 26(c) of the Freedom of Information and Protection of Privacy Act (FIPPA). This information will not be disclosed outside the University without your consent.
